Fidelity Bank Ghana Saves Time, Reduces Meetings and Improves Security With Google Apps

Established in 2006, Fidelity Bank Ghana is the sixth largest commercial bank in Ghana—employing 1,200 people and serving 450,000 customers across the country. As the banking industry in west Africa continues to evolve, we’re seeing growth due to our aim to provide customers with a faster, simpler banking solution so they can focus on building their businesses and living their lives. We decided to move to Google Apps in March of 2013 because of the guaranteed uptime, high security, low operating costs, and the opportunity for better collaboration among our employees.

Our legacy email system would be down for countless hours—wasting time, decreasing performance, and compromising security. As a result of the unresolvable server outages before switching, employees started using their personal email addresses for official communication, which was against company policy. Our old system operated at 30 to 40 percent more downtime than Google Apps and I personally was losing about six hours a week from downtime.

Since Google Apps is cloud-based and updates automatically, we’re now saving 30 percent in operating costs per year versus our previous environment. The legacy email system required frequent costly upgrades and hardware maintenance. And, like many banks, the security of our account holders’ information is very important to us so we were impressed by the SAS 70 security certification for Google Apps Vault and we were comfortable with making the switch.

Employee collaboration from any device, regardless of location, was a big driver in our move to Google Apps. Many of our employees don’t have desk phones, so Hangouts—with the instant chat feature—have really helped the team stay connected. I’ve seen employees with 12 different chats open at once! Hangouts have reduced the number of meetings we have, allowing different stakeholders to collaborate without having a formal meeting. Before moving to Google Apps, we had major issues trying to access our email during trips abroad. We returned home with hundreds of emails and spent days just reading through them. With Google Apps accessible from anywhere, we can check our email inbox from virtually any device, boosting productivity and time savings.

Google Drive is helping our employees be more productive, and the transition was seamless. Since each user has 30GB of space, there’s plenty of room to have all of our documents and we can access our Docs, Sheets, and Slides from anywhere. We use Drive as our intranet—uploading everything from HR policies to compliance documents. We’re also creating microsites to serve as collaborative hubs for individual departments. For example, we have Google Sheets shared across branches and teams to manage our sales activity, our private and executive banking sales activity, our future business pipeline reports and collating weekly operational reports. Company-wide, we can attribute about 15 percent of time savings directly to Google Apps, but some individuals are saving even more time. Our head of ATM card management is now saving two days per week using Google Forms. Previously, she received 44 separate email attachments each week from various branches that she had to manually input into a master document. Now, those updates are collected using an automated Google Form that auto-populates the master Google Sheet.

Overall, I love seeing all the innovative ways in which employees are proactively using Google Apps to be more efficient and productive. We continue to explore new opportunities to leverage Google Apps to make employee collaboration and productivity better.

Standard Parking Adds Capacity with Google Apps

At Standard Parking, we help people park their cars safely and quickly. We employ over 23,000 people across 4,200 facilities – that amounts to over 2 million parking spaces – across the country. To help serve our clients and customers better, we merged with Central Parking nine months ago to become the largest parking management company. In order to manage this large scale operation, we use Google Apps for Business to stay connected and consistent across our company.

Last year, we decided to replace our old Microsoft Exchange Server 2003. We needed a solution that focused on mobile and collaboration, and was cost effective and scalable. We looked at Google Apps and Microsoft Office 365, but never seriously considered 365 because of the cost alone. Upgrading our current on-premise system would’ve been nearly four times more expensive than going Google. Our CEO demonstrated his commitment and helped with our change management efforts when he told the pilot group during a training session, “If I can do this, you can do this.” With the help of Google Apps reseller MavenWave, we made the initial switch for Standard Parking in February of 2012.

After our merger with Central Parking in October of 2012, we had a highly distributed organization with employees at headquarters in Chicago and Nashville, as well as at thousands of facilities across the country. Google Apps let us move the entire Central Parking organization off of Exchange and on to our domain quickly – it was like we simply flipped a switch. We also created an intranet using Google Sites that became the company’s primary means of communication to employees, both old and new, during the merger. All departments have pages on the site for policies, procedures and other documentation. We also created an "Operations Playbook" that outlines the company processes. It's a great resource for employees, managers, and executives.

Google Apps gave the company a single platform for our 4,200 users to communicate with each other, maintain personal and shared calendars, and the flexibility and access that they didn’t have before. We’re a field-based organization, but remotely connecting to our old email system was incredibly hard. Employees had to connect to a VPN or use a non-intuitive Outlook web interface. Google Apps lets anyone log in to their email on any device at any time.

We want our business to be as simple and efficient as possible, so that our customers’ only worry is about getting their car in between the lines. We’ve gone through a lot of changes and growth over the past year, but Google Apps has helped us turn two companies into one, and keep thousands of garages under one technology roof.

Globe Telecom connects in the cloud

At Globe Telecom we work to quickly and easily connect people to one another and to the information they need. As one of the country’s largest telecommunications companies, we have a vast network of mobile, fixed line, and broadband Internet services that connect 36 million customers across over 7,000 islands of the archipelago.

Filipinos love technology. In fact, we have the highest rate of smartphone adoption in South East Asia. The country is experiencing an exciting time of economic growth, and to support this growth and provide our customers with the great service they expect, Globe is going through its own process of transformation and innovation. We’re upgrading our network and systems as well as moving our headquarters to Fort Bonifacio.

To manage this change and give our customers great service, our internal communication systems need to be fast and reliable. This is why we’ve decided to make the switch to Google Apps. Moving to a cloud-based set of tools and being able to access information from any device at any time means that everyone from the head office, to store employees, to call center staff and vendors will be able to connect more easily. This will ultimately improve our customer service, as well.

By finding new ways to collaborate, we’ll not only be able to improve our customers service, but it will also help us focus on innovation. Managing projects is a large part of everyone’s work life at Globe, and now our teams will be able to coordinate their projects more efficiently with Google Calendar and Google Sites. When we ran a test with Google Apps it took just a few hours for 50 of our non-technical staff to set up team sites, add their calendars, agendas and profiles and start working together on campaigns collaboratively. This is much faster than any system we’ve used before and will open up lots of avenues to be more innovative.

A big part of our culture is having face-to-face meetings, so Google+ Hangouts will be a great way for us to connect face-to-face with our colleagues around the country instead of flying or driving everywhere. Using consumer tools like Gmail and Google Docs have other benefits too — staff are familiar with these tools from their personal lives and when given choice, 73% of our employees voted to use Google Apps.

As a company focused on driving innovation and collaboration to give our customers a great experience, we’re looking forward to undertaking this journey with Google Apps.

Florida Power & Light Company uses Google Maps to help keep customers out of the dark

At FPL, we understand how much our customers depend on electricity. When they flip the
switch, they expect the lights to come on. We agree. That’s why we’re continuously investing
time and resources to improve the service we provide to our 4.6 million residential and business
customers.

Google Enterprise gives us the tools that let us easily use more than 100 data sets of
information about the area we serve – that’s more than 1 million data points. With these tools,
we can better locate property lines, our trucks and equipment, customer locations, and even
eagle nests and conservation areas - all important information when investigating issues or
planning work.

With Google Maps, we have a single, visual interface to determine the smartest and most
efficient way to restore and improve service to our customers. For example, our Restoration
Spatial View, is a powerful Google Maps-based tool that allows us to monitor severe weather,
pending customer requests, crew locations as well as the power our system is providing and
which customers are without power. The information is plotted on a map so we can quickly
identify and fix problems as they arise.

Each restoration crew has a laptop in its truck to allow them to quickly access this data and
locate problems. Earlier this year, we expanded our restoration crews’ access by equipping
them with “smart tablets” to use even when they are outside of the trucks. We achieved our best
reliability performance on record in 2012, and we expect technology tools like those provided by
Google to help drive continued service improvements for the benefit of our customers.
Our employees aren’t the only ones who have information about outages. FPL Power Tracker
is a web-based tool that uses the Google Maps API to let customers search and report outages
also. They can see details about outages affecting any of our customers, including when they
were reported, what caused them and when power is expected to be restored.

During hurricanes or severe storms, we switch the Power Tracker into “Storm Mode” and
show broader county-by-county power outage numbers. We also show estimated restoration
times so residents who have evacuated an area know when they can return home, and those
who weathered the storm know when their power will be restored.

When the power goes out, customers want to know why, and our crews and technicians need to
know the nature of the problem and its precise location in order to fix it. While storms in Florida
may be severe, FPL has equally powerful tools to help us withstand them and keep our
customers’ lights on.

Google Apps turns on collaboration for SL Industries

At SL Industries, we design and manufacture specialty electronics that help our customers increase performance, safety and efficiency. We value these three principles in our internal operations, as well. In fact, we have an executive position devoted to lean operations. We also have a handful of employees, known as “lean champions,” who are committed to finding ways to cut waste and make our processes run smoother.

In 2011, we realized the need to improve efficiency within our own IT environment. We had been running Lotus Notes since 1998, and while it worked well for email, we didn’t have tools to help employees, groups or divisions work with one another. Our biggest obstacle, however, was mobility. Lotus Notes didn't support a complete mobile solution and our Blackberry Enterprise Server was not meeting the needs of our employees who desperately wanted to use other smart phones.

We decided to evaluate Google Apps, Microsoft Office 365 and LotusLive to get us up-to-date. Google Apps scored highest in our evaluation, offering the most mature platform with the most tools, and saving 20 to 45 percent over the other solutions in our cost models. We switched in September of 2011 with the help of Google Apps Reseller, SADA Systems.

Google Apps has made collaboration and efficiency top of mind. Our VP of Operational Excellence created a Google Site so he could collaborate with the “lean champions” throughout the company to communicate scorecards to each factory, providing lean training materials for everyone. This has been an internal breakthrough since now all of our employees can easily locate and digest this information.

The executive team uses Google Docs to manage the executive agenda and track weekly financial metrics, including backlogs, bookings and forecasts, and now everyone is looking at the same data during meetings. Before, we used Microsoft Excel and saved it on a file server, which led to all sorts of problems with version control that left people with out-of-date data.

By moving to the Google tools we really understand how much our previous technology environment was holding us back in our mission to “go lean.” Our old products were outdated and bulky. It took moving to tools such as Google Sites, Google Drive and Google Talk for us to realize that. Our “lean champions” are pretty proud.

Pridgeon and Clay make heavy business feel light with Google Earth Pro

At first glance, our business seems pretty simple: we make metal parts for the automotive sector. However, the processes involved in making those parts is anything but simple. The coordination and logistics to supply parts to a supply chain that make the parts to almost every car manufacturer in the U.S., Mexico, and Europe requires more than 120 metal stamping presses around the world. In addition, we buy, ship, and process raw materials, coordinate delivery of our products, and manage our global sales teams. With all of these moving parts, we needed a business analytic solution that could help us understand all of these processes as it relates to our need to make good business decisions.

Google Earth Pro gives us the visibility into our product, production and sales processes that we need to make sure we’re operating efficiently. With Google Earth Pro, we use layered views to show us where our component parts are selling, what cars our parts end up in (by tracking the part through production and into the actual cars on the roads), and the distribution of those parts in the various markets. Earth Pro helps us distill and understand our millions of data points, making it easier for our teams to analyze and make smart choices on a variety of topics.
Google Earth Pro allows us to manage our financial forecasting by area and helps in our business plan and goal setting. When the automotive market was struggling in 2008, or when the Tsunami hit in 2011, several of our suppliers and customers started to halt production at their factories. Since we had an accurate understanding of our integration of the supply chain and sales via Earth Pro, we were able to adjust our production patterns and weather the loss and change in our business. Earth Pro gave us insight as to the scale of events unfolding in the world and helped us make better decisions.

When selecting new potential plant locations, Google Earth Pro helps us to find the best place to optimize and make the right decisions. For example, we are currently looking to place an additional plant in the future in Mexico. By combining layers with the location of metal suppliers, customers, potential customers, and other market data (such as population density for possible employees), we figured out where we should place our factory to make our procurements, shipping, and business costs more effective. By scaling this practice to all our plants around the world, Google Earth Pro has helped us to be competitive and in the right place at the right time.

Google Earth Pro allows us to touch our data every day, tweak it to fit our needs, and visualize relevant information to help us make informed decisions. And it’s simple – anyone with a browser can use it. On a quick virtual meeting with our business units in Europe, we installed Earth Pro and they were placing their first pushpins in minutes to show the locations of their local facilities and relationships. Now, we have hundreds of thousands of pushpins used globally on all types of data, and hundreds of layers for every aspect of our business. Google Earth helps turn our heavy business lighter – with all of our data at our fingertips.

Premier Foods Saves Money, Builds Community With Google Apps

In a traditional industry like manufacturing, it’s tough for big companies to be innovative. With more than 35 locations and annual revenue of around £1.5 billion, Premier Foods is amongst the UK’s largest food manufacturers. We recognise the need for constant innovation agility and collaboration. Moving to Google Apps did exactly this for us, as you can see from our Story Builder. We upgraded our email system and introduced tools to allow our teams to work better together and break down silos

We’d been on Lotus Notes for more than 12 years and, as Premier Foods changed, it stopped fitting our needs. We evaluated Google Apps, IBM® SmartCloud and Microsoft® Office 365. We found the tools in Google Apps were familiar and enabled employees to easily work together. They also gave us the ability to seamlessly sync everything to mobile devices, a previous pain point. After a short pilot, we launched Google Apps to 4,500 users and enabled 1,000 company-owned Android devices in just two months.

By switching to Google Apps from IBM Lotus Notes, we saved 50 percent on our email operating costs. In an investment heavy industry like manufacturing, any money that can be invested in revenue driving parts of the business like marketing and sales instead of on infrastructure like servers, is a huge benefit. Plus, as a company that has grown through acquisition, the ability to easily add or subtract users as needed allows us to scale our business with very little expense.

By connecting people and information, Google Apps has helped us build a sense of community inside the company that wasn’t there before. We’ve just started using Google+ Hangouts and they’ve already been fantastic for connecting employees across departments and locations. I personally have about 10 Hangouts a week which has cut down my travel dramatically as well as engaging and connecting the individuals that previously switched off during traditional voice conference calls. We’ve even created Hangout “kits” with webcams, headphones and “quiet” flags (to let fellow employees know you’re on a video conference), so people can grab a kit and try it for themselves.

Staying fresh can be a challenge for big food manufacturers, but with the help of Google Apps, Premier Foods is able to do just that. It’s fun to hear people say, “Wow, Premier Foods does video calls? That’s pretty cool.” It validates our focus on using technology that helps us stay one step ahead. And this is just the beginning – as Google continues to innovate, we'll continue to grow with it.

Shaw Industries goes lean for the long run with Google Apps

At Shaw Industries, we’re proud to have been a part of Northwest Georgia’s manufacturing heritage for over one hundred and sixty years. Many of our employees have worked with us for thirty or forty years, bringing with them a deep knowledge of the flooring industry, and a dedication to continuing our tradition of excellence.

Though we started in Georgia (and are still based there), our real estate portfolio includes 80 manufacturing sites in seven U.S. states, Mexico and China. We also have 50 distribution centers, as well as 19 showrooms located around the world. We are, in every sense of the word, a global flooring manufacturer and staying connected through communication and collaboration is central to our business.

In 2012, we rolled out Google Apps to over 10,000 employees. In addition to the immediate benefits of email, calendar and contacts, tools like Google+ Hangouts and Google Drive helped us transform complex, manual, and slow processes into a fast-moving and efficient stream of information.

Because these tools make it much easier for our employees to communicate and collaborate wherever they are, Google Apps has helped us “go lean” by eliminating wasteful processes and improving information flow. For example, our plant engineers can keep machines running more efficiently and safely by using Google Drive on any device to access and share our equipment manuals and safety procedures.

The flow of information globally and locally has really improved, as well. The combination of Hangouts, Docs and Google Translate has helped our global teams communicate with plants and suppliers more easily while reducing meeting times by up to 50 percent. Even employees located only 20 minutes apart are choosing to meet over Hangouts, saving travel time and gas. Similarly, our marketing and sales teams also use Google Docs to work more efficiently with third-party agencies on print and broadcast ads, and our departmental finance teams have streamlined their budgeting processes with Google Sheets.

Our associates at Shaw are passionate about their work, their products and our company. Their passion extends to tools like Google. It’s not often that a product is implemented and a year later co-workers are still mentioning what a good idea it was, and how they are still excited to be using it. Google has helped us strengthen this community by allowing us to work together, wherever we are, with whatever devices we’re using. We’re operating on a leaner, stronger foundation thanks in large part to Google.

BDP International Delivers Success with Google Apps

Whether it’s moving a tractor to Jakarta, sending a blood pressure monitor to Milan or putting a beer in someone’s hand, at BDP International, we manage logistics for international transportation from start to finish. We run everything from documentation to shipping, making sure all the regulatory requirements are met along the way. We depend on technology to orchestrate the freight logistics and transportation globally on air, land, and sea, so we need to have an email system that’s dependable and tools that are collaborative.

In the past, we used Microsoft Exchange. Maintaining the Exchange environment was costly, and without significant investment our reliability issues would’ve continued. We needed to be able to monitor the mobile devices that connect to our systems and better predict usage patterns. We considered upgrading our on-premise Exchange environment or moving to the cloud on either Microsoft Office 365 or Google Apps for Business. The Exchange upgrade was three to four times more expensive than both cloud options and, while Office 365 offered familiar features, the pricing was not within an acceptable cost structure at the time of our evaluation. Google Apps gave us a complete set of tools for a single per-user fee, with the highest reliability and security overall. In April of this year, Google Apps Reseller Cloud Sherpas helped us move our 3,600 employees over to Google Apps.

Although we’ve only been on Apps for a few months, we are already seeing how Google Apps is helping our employees work better together. First, our compliance team is using a Google Site as an internal regulatory information hub, and our VP of Compliance uses the automatic translation feature in Gmail to communicate with our office in Mexico in seconds, without the hassle of finding a translator or leaving the original message. We moved an entire process around event planning from a paper form to a Google Form, which allows our event coordinator to collect and share all the details with the planning staff seamlessly and much faster than before. Finally, we’ve moved off of our company Blackberries onto Android and iOS smartphones with Google Apps. This allows our teams to work faster since everyone can edit and collaborate in Google Drive from anywhere, while giving our IT team better visibility into our network thanks to the mobile management console.

Moving to Google Apps helps our employees view technology as a tool, not an obstacle, and is making us a more nimble company. We can get work done from anywhere while moving around as freely as our cargo. We had talked about making this happen at BDP for a long time, but Google Apps really helped us kickstart the change.

Google Apps helps the cloud become a reality for Imagination

Imagination is a content marketing agency that helps companies connect and engage with their target audiences. Businesses like Wells Fargo, General Mills and US Foods turn to us when they want to reach their customers, and we make it happen by creating interesting and engaging content and distributing it across print, digital, broadcast and social media. We place a premium on creating smart strategies and executing on them quickly, so efficient and clear communication matters to us.

Last summer, we realized our technology was getting in the way of our ability to connect and engage with our own customers. We’d recently switched to Microsoft Office 365 as part of a larger company-wide move to the cloud, but ran into a number of problems we couldn’t ignore. Server connection issues prevented us from accessing our documents and Outlook crashes kept us from reading or sending email. Fifty percent of our help desk tickets were for email alone. And whenever a problem arose, we had to hire an expensive Microsoft consultant to fix the issue. When I stopped and realized we had a managed service provider in our office two to three times each week, it struck me: this was not the right IT solution for our agile, quick-moving and collaborative company. So we turned to Google Apps.

Once we had the support of the executive team, I reached out to Cloudbakers, a Google Apps Reseller based near our office in Chicago. They had done numerous deployments for companies like ours before, so they had a well-informed, specific step-by-step plan in place when we first sat down to talk details. They came on-site and ran in-person training for our employees, so everyone felt properly prepared to tackle their work using the new technology without skipping a beat.

Moving to Apps made our IT headache disappear. Help tickets have decreased by 50 percent and we’re on track to save $24,000 per year in help desk and downtime reduction alone. Employees no longer complain about VPN logins or email client configuration; now they can sign on to their account from any device and have everything they need at their fingertips. We don’t encounter hardware issues that make work come grinding to a halt; employees can simply sign into a spare device and instantaneously access their email and files.

Our employees have really embraced Apps, and we've seen a strong trend where teams are adopting new products and features organically. Everyone stores their important documents, presentation and spreadsheets on Google Drive. There’s also been a massive drop in the use of Microsoft Excel in the past few months as people start picking up Google Sheets and Docs. As a data enthusiast, I can’t get enough of the Drive dashboard. It’s revealed a fascinating trend where use of Excel and Word is dropping while the number of Docs and Sheets is shooting up.

We’re in the midst of evaluating a new CRM system, and our COO has one requirement: it has to integrate with Google Apps. Now that’s a success story every IT manager likes to share.

My passion for food started before my seventh birthday, when I taught myself how to make mushroom and olive Passover Matzo pizzas. Over a decade and many pizzas later, I decided to make food my career: I opened a food truck, The Lime Truck, in 2010, and won the Food Network’s “The Great Food Truck Race” in 2011, just a year later. We’ve been moving full speed ahead ever since.


I love running a food truck company, but it’s also a chaotic undertaking. We employ more than 25 people, dish out at least six menu items, and make stops at more than 30 different locations in the Los Angeles area each week. Organization is key and having the proper lines of communication is essential. I moved the company to Google Apps in June of 2011 primarily for dependable email, but we realized quickly that Calendar and Docs were just as indispensable.

Our shared Google calendar is our time management lifeblood. We have an invite for each truck that details each day’s menu and shift schedule, so everyone can see who’s working where, when they have to be there, and what they’re serving. Most importantly, we can update it at any time and know our whole team is looking at the right information. That way, if we run out of Crab Ceviche and have to switch in the Yum Yum Lamb Sandwich, we just update the shared calendar invite, and everyone knows what’s on the menu.

We got one of our partner farms to switch to Apps, and it’s made our communication with them significantly faster and easier. Now, we track everything in Docs - ingredients, quantities and delivery addresses - so all the the latest information is in one place. Getting notifications when someone adds a comment in a doc lets me and our farm know exactly where someone needs help or that something has changed.

Before using Google Apps, I felt more like a project manager than a business owner. Now, I get to focus on what I love - helping my company grow. I just opened my first restaurant, TLT Food, in Westwood and I'm writing a cookbook. Food is my life and The Lime Truck is my passion – well, that and our amazing Ahi Tuna Poke Nachos - and I wouldn’t be where I am without the help of Google Apps.

When Ed and Dan Dunn started Dunn Bros. Coffee in St. Paul, Minnesota in 1987, they refused to open just another coffee shop. They would be different -- their high-quality craft roasts would be as popular as the community of fans that flocked to them. Like the legendary Eugene, Oregon coffee houses that inspired them, Ed and Dan sought to foster the connection between customers through their shared appreciation of exceptional coffees, fresh roasted in the store every day. As CEO of Dunn Bros., I’ve made sure our blends change while that core value stays the same.

Dunn Bros. Coffee has grown to over 80 locations in eight states since we opened our first shop. But that growth wasn’t always easy: until a few years ago, we were bogged down by the limitations and costs of our servers and legacy hardware. We needed a new IT system that was more cost-efficient and would let us focus on scaling our business.

Since we don’t have a dedicated IT department, we turned to our partner, Agosto, to help us find a better way for our corporate team and dozens of franchisees to communicate, coordinate and operate easily, whenever and wherever we were. They told us we needed Google Apps for Business, and it didn’t take us long to agree.

All the tools available to us as part of the Google Apps suite make partnering with our Support Center staff and franchisees a breeze. We use Groups to encourage discussion between our store owners, who have in turn transformed it into a forum for sharing best practices, troubleshooting and brainstorming. Sites lets us share our recipes, roasting profiles, training documents and marketing plans all in one place, so our employees don’t have to search through dozens of emails to find the latest version of the document they need. We have a shared Calendar with our weekly calls, new coffee releases, and promotions, so everyone’s in the know and on time.

We can’t imagine a day without Google Apps, and neither can our franchise owners. All we need is a cup of Dunn Bros. coffee to get us started in the morning, and the rest falls into place.

Education is looking UP in The Philippines



In the last few years, educators in The Philippines have moved to provide their students with technology that will prepare them to thrive in their future jobs. A major part of this initiative was the entire Department of Education for the Philippines moving to Google Apps for Education, a cloud-based suite of applications that let teachers and students communicate and collaborate across the classrooms and campuses of the archipelago. Since last September, The Department of Education (DepEd) has already moved 5,000 schools, 200 divisions and 600,000 staff to Google’s services. On top of that the Commission of Higher Education and the Technical Education and Skills Development Authority have also made the switch to Google Apps.

This week institutions of higher learning in the Philippines are joining the move to the cloud. At the launch of the “Schools Gone Google” program yesterday, The University of the Philippines (UP) and 15 other schools, such as University of San Jose Recoletos and Ateneo de Zamboanga, announced they too would be moving to Google Apps for Education. UP joins over 40 universities in the Philippines that have migrated to, or are in the process of going Google, including AMA Computer University (with 150,000 students and faculty), Ateneo de Manila University, De La Salle University and Silliman University.

We have been humbled to support this investment in the future of the Philippines and have been working with these institutions to help them get the most out of their experience. The “Schools Gone Google” program aims to provide Google Apps for Education to as many education institutions in the country as possible through the Google Apps Supporting Program (GASP). We’re looking forward to seeing where the cloud takes the education sector in the Philippines and continuing to provide students and teachers with the educational support and tools to flourish.

Monroe Restoration has gone Google with help from TechKnowledgey, Inc.

When I first joined Monroe Restoration, the company couldn't afford to pay me, but I took the job anyway. I'd seen enough homes destroyed by tornadoes, floods and fires that I was willing to take a personal risk helping people get their lives back together after disaster. It didn’t take long to realize I wanted to run the company myself. I saved enough money to buy out the owner and took over as CEO in 2003. In the last ten years, Monroe has grown from a three-person operation to 27 employees across two locations. At that kind of scale, we can help a lot of people: when a tornado hits, we receive 150 to 200 calls in just a few hours, and on any given day, we’re managing between 50 and 100 projects.

Two years ago, we found ourselves in the face of a different kind of disaster: our Microsoft Small Business Server crashed, effectively stripping us of the tools we needed to help our customers. I turned to Boyd Smith, the founder of Google Apps Reseller TechKnowledgey Inc., for help. I’ve known Boyd for over a decade - we live in neighboring towns, we’re both training for our pilots licenses and he’d been our go-to IT guy for a few years. I told him we needed a new and reliable platform that would help streamline communication between branches and keep our field techs connected while they traveled on-site. He told me we needed Google Apps. We started migrating the entire company the next week.

TechKnowledgey didn’t just help us move to Apps - they’ve helped us become a better business. We buy a lot of materials from the road, so Boyd and his team built a custom purchase order system using Google Sites and Forms that lets our field techs request POs directly from their phones, wherever they are and whenever they need something. Our accounting team receives the requests and can approve them immediately, letting our employees buy the tools they need on the spot.

We’re always looking for new ways to grow the business and TechKnowledgey is continuing to show us how to use Apps to make it possible. When we opened our second office, I wanted our employees to feel a sense of camaraderie regardless of where they sat. Boyd and his team introduced us to and trained us on Google+ Hangouts. Now we can’t get enough of them. I’ll fire up a hangout to catch up with my General Manager or host an all-hands without even thinking about picking up a landline.

I know how to help someone whose roof has been torn off by a tornado or whose basement has been filled with water by a flash flood. I also know that Google Apps makes us better at saving and restoring these homes, and that TechKnowledgey helps us get more value from Apps than we could have on our own. And anything that makes it possible to get more people back on their feet after a disaster is a win for everyone.

Sweetgreen keeps things fresh with Google Apps

Sweetgreen started as an idea I had with two of my friends, now my co-founders, while we were studying business at Georgetown University. We were frustrated by the lack of healthy eateries in Washington, D.C. and wanted to make eating healthy an affordable and easy option, especially on our undergrad budgets. We decided to make it happen ourselves, and launched our first Sweetgreen restaurant shortly after graduating in 2007.

We sell local and organic food, but we stand for a lifestyle: being healthy and environmentally conscious while creating great experiences around food. All of our Sweetgreen restaurants are designed with reclaimed materials, use biodegradable utensils, and compost waste. Our wooden tables and seats are made from pre-1980s bowling alleys, and our bowls, cutlery and cups are all 100% plant-based.


Google Apps allows us to be more than a traditional brick and mortar restaurant. We’re constantly evolving, changing and growing, and we realized early on that we needed our technology to be as flexible as the ingredients on our menu. We’re growing quickly - we’re opening two new markets this year - and we need technology that can grow with us.

We change our menu every month to highlight seasonal ingredients and keep things fresh. Our customers are generally curious about what they’re eating and what farm the ingredients come from, so we send talking points to the store managers. Google Sheets and Docs make this all happen for us. We have a running spreadsheet with the local ingredients and plan out each month in advance. The spreadsheet is then turned into a newsletter, and the great thing about Google is throughout that process every group has a chance to jump in and contribute. Once it’s completed, we send the newsletter out to our stores.

We also use Google Drive, which allows us to collaborate between departments. Marketing, Finance and HR can all look at one document at the same time, add their thoughts, and keep track of the changes each person makes along the way with revision history. It makes transparent communication easy, especially when we’re moving really fast (which is always).

Five years after the first seed was planted for this idea, we have more than 400 employees and 17 restaurants in four cities. At Sweetgreen, we believe in creating experiences that go beyond the transaction, and Google Apps has helped make that possible.

ILCEA Education makes global learning easier with Google Apps

With today's technology, the world can seem pretty small. However, language barriers can still form a big obstacle for global communication. At ILCEA Education, our goal is to bring the world together by teaching people new languages. Founded in 2001, we serve 1.5 million students in 50 countries around the world. We help our students learn about new cultures and languages with diverse in-country work programs, student exchanges, internship opportunities, online training, and even coordinate vacations to help people learn new languages. We get to work with all types of students, but we find that it’s not so easy to coordinate our work globally.

To help our students learn, we partner with more than 500 international schools around the world to teach and coordinate our programs. This requires a standard platform for communication, so we’re switching to Google Apps with help from Cloudreach, a Google Apps reseller. Before Apps, our education affiliates sent out emails from various addresses, making tons of phone calls and in some cases even mailing printed letters or printed forms to communicate with us. By bringing everyone in our network onto Google Apps under a single ILCEA Education domain, we’re creating a unified internal communication strategy, ensuring that all of our partners can participate in every conversation. It gives our partners access to Google+ Hangouts, Gmail, and shared Google Docs to foster easy communication no matter where they are or what device they’re on.

Google Apps will upgrade our student’s educational experience. Learning a new language and living in a new place can be overwhelming, so we want to make sure all of our students have a smooth start. All of our students will have an ILCEA Education branded Google Apps account, providing easy access to the resources, communication and social tools they need. Students will be able to interact with course materials from anywhere with an internet connection in an intuitive way using Google Drive. Google Hangouts will also provide an important opportunity for students to practice their language skills from anywhere with an internet connection, transforming the learning experience with active participation.

Because teaching is at the heart of what we do, our learning resources will get a major digital makeover with Google Apps. Sharing lesson plans, curriculums, and other resources on Drive allows our educators have access to the materials they need, without having to worry about cumbersome downloads or printed manuals. Drive allows our teachers and partners to simultaneously edit materials with ease, so our lessons will always be current, including the latest information as well as any updates based on student feedback.

St. Joseph students create their own education with Chromebooks

Learning shouldn’t be limited to pen and paper, nor the computer lab. Rather than taking tests or filling out worksheets, the 270 students at St. Joseph’s spend most of their time creating projects using digital tools that show off their knowledge. Whether they’re telling stories of famous heroes using Google Sites, making group study guides with Google Forms, or listening to voice comments on their science fair projects in Google Docs, our students learn more from creating than they ever could from only consuming information.

My job as Director of Technology at St. Joseph’s is to make sure our educational tools are available everywhere. We have found Chromebooks to be the perfect tools – they’re portable and easy to use, have a keyboard and a large screen, and are secure. We’re piloting Chromebooks with several teachers now, and soon our entire faculty and staff will use them exclusively. We will also supply carts for the Chromebooks so students in different classrooms can share computers as freely as they swap lunches.

Because our teachers already use the Chrome browser and work largely in Google Apps, moving to Chromebooks has been easy. In addition to Google Apps, we also use Pearson PowerSchool to track grades, test scores and attendance, along with giving us a collaboration platform for parents. Accessing PowerSchool is extremely important but because it uses an older Java technology that is not supported in Chrome, I had to find a way to access it securely and easily from the Chromebook. I found out about the Chrome RDP app by Fusion Labs; it was exactly what we needed.

Chrome RDP lets users connect to any Windows desktop or server directly from within the Chrome browser. Since it uses Microsoft’s native Remote Desktop Protocol, no additional configuration or setup is needed after you install the app. It gives us secure access to PowerSchool and other legacy applications, and it’s straightforward for teachers to use. They download the Chrome RDP app from the Chrome Web Store, open up the app, and enter their login information for secure access to PowerSchool through the school’s firewall.

The introduction of Chromebooks to St. Joseph's has broadened what our teachers and students are able to achieve in the classroom. Chromebooks have helped everyone at St. Joseph’s enjoy the benefits of technology without expensive, complex maintenance. And now our students will have a new outlet for learning that helps familiarize them with technology and what we see as the future of learning.

Ocado Delivers Your Groceries with Automation... and the help of Google technology

Ocado isn’t your typical corner grocery store. For one thing, there’s no corner as we’re the world's largest online-only grocery retailer reaching over 70% of British households, and now with a fast growing non-food business alongside. Our customers shop online using our award winning webshop or mobile apps and then their orders are picked and packed in one of our huge automated warehouses, the largest of their kind in the world; hours later, our vans deliver to their kitchens in one hour delivery slots. On a normal week we ship over 150,000 orders - that's over 1.1 million items each day. Google Enterprise solutions are playing a major, and expanding, role in helping us run such a time critical 24/7 operation across multiple sites.

Google Apps allows us to do things our way, wherever and whenever we want. Our staff use Gmail, Google Calendar and Google Drive to stay on top of their day to day work, and Google+ is helping our teams stay in touch, share information and build local communities. Ultimately, all of these tools help to make sure our customers get the groceries they order, on time and in the best possible condition.

But we didn’t stop there. We looked at other ways we could use Google’s technology to help us run our business and started using Google App Engine for building internal applications. For example, we used App Engine to create a new version of our "Where's My Order” application, which our customers will soon be using to find out where their orders are within our production cycle. Once their order is on the road, the integration with Google Maps allows them to see exactly where their delivery van is. So we’re taking what used to be a chore, grocery shopping, and making it a simple experience that you can do from the convenience of your own home, or wherever you may be.



Our most recent project was on Google Compute Engine. Within our warehouses there are certain tasks that are repetitive and arduous for humans to do, like picking heavy six packs of bottled water into customer orders. So our robotics team is developing solutions that use robots to automate these sorts of tasks and thus release staff for other more important work. But these robots need sophisticated 3D vision systems to enable them to see what they are doing. These are very computationally intensive applications and by providing the instantly flexible and scalable computing power to crunch all those numbers, Compute Engine provided the perfect solution. And, we are already using the cloud to store and process some of the huge volumes of data that our business spits out every minute. But with an eye to future growth and international expansion, we have plans to use Compute Engine and Cloud Storage to move other parts of our production systems to the cloud.

So walk into an Ocado warehouse in the future and you might run into a robot if you’re not careful. Like I said, we’re not your typical corner grocery store.

Schumacher Homes uses Chromeboxes to help customers build dream homes

At Schumacher Homes, we design and build houses that fulfill our customers’ dreams. Building a custom home has the potential to feel overwhelming so we strive to make the process as easy as possible and deliver great value, with local teams in 20 stores spanning 14 states.

When customers walk into one of our stores, our systems and staff are ready to guide them through the home building process. Customers can access our web app on in-store kiosks, powered by Chromeboxes, where they browse home designs and options. We used to rely on PCs to run the kiosks but they were costly for what we needed, required in-person management at remote stores, and broke down often by overheating. With Chromeboxes, we get simple, easy-to-use computers that cost 60 - 65% less than our prior PCs, plus we’re saving on upkeep and administration, as we can manage them remotely via the web-based Chrome management console.

Since the kiosks run on our corporate network and are publicly accessible in our stores, we’re extra cautious about security. Chromebox’s verified boot, and OS and browser sandboxing protect us from viruses or spyware that could infect our internal systems. Also, because Chrome auto-updates, we get the latest security patches and save time previously spent manually updating our machines.



Building the home of your dreams should be easy, so we don’t want to add any complication for our customers or our team. With Chromeboxes, we can give our customers an easy, hands-on experience without worrying about security issues. And, on top of it all, we’re saving money. Now, that’s simplicity.
