Making calls from Hangouts — in Gmail and across the web

For those of you who have taken the plunge and are using desktop Hangouts in Gmail, Google+, and the Chrome extension, we've heard loud and clear that you miss the ability to make calls from Gmail, so today, we're happy to announce it's back - and better than before! Even better: calls to the US and Canada are now free from all countries where Hangouts calling is available. And international rates remain super, super low.

Today's launch also improves the desktop calling experience in a number of ways. For example: you can add multiple phone numbers and video participants to the same call; and you can play sound effects (like applause or laughter) with the Google Effects app.

To make a call from Hangouts, just look for the new phone icon in Gmail, or for the new "Call a phone" menu item in Google+ and the Chrome extension. And of course: if you haven't yet tried Hangouts in Gmail, you can always click your profile photo in the chat list and select "Try the new Hangouts."

























Making calls from Hangouts is rolling out over the next couple of days. As we’ve said before: Hangouts is designed to be the future of Google Voice, and making and receiving calls is just the beginning. So stay tuned for future updates.

New Google Groups now available to everyone

With Google Groups, you can manage a mailing list, coordinate with your team, and find experts who share your interests. Over the last year we have been working on improving the experience and adding new features while keeping our old version running.

Today we’re retiring the old version and excited to be bringing the new Google Groups to everyone. If you haven’t tried Groups in a while you’ll notice improved options for managing your groups and long time users may be surprised by all the features we have added along the way.

One of the recently improved features is the ability to create an inbox that allows you to collaboratively share, distribute and track responsibilities with others. Imagine you and a few co-workers are organizing an event for your global team and want a single email address to coordinate with vendors, attendees, and speakers. Members of the group can work together to manage email, assign items to each other, and mark items resolved. This can be a great feature for teams seeking a really simple way to get things done without sharing passwords or losing track.
Additionally, there are several new moderation tools to make managing your forum easier and faster. For example, you can now use canned responses in forums and use streamlined options to make moderating forum posts easier. And if you are on the go, you can browse and moderate your groups with our mobile website.

Round-up: Google I/O news for business, government and education customers



Yesterday, we kicked off the 6th annual Google I/O developer conference, with over 6,000 people attending live in San Francisco and millions more around the world tuning in to the livestream. The conference this year focused on a growing trend that affects our lives at home, at work and at school: the move towards a multi-screen world. In this world, tablets and mobile phones are quickly becoming as commonplace—and as useful—as desktop and laptop computers.

As you shift between devices, your experience should be seamless. And the same tools you use in your personal life should be available in the workplace, so you can work the way you live. To that end, here are some highlights from this week that are particularly relevant to our business, government and education customers—including tools for developers, features to simplify your life, and new ways to connect and collaborate with others.

Tools for developers:
  • Google Cloud Platform: We announced that Google Compute Engine—which provides a fast, consistently high-performance environment for running virtual machines—is now available to anyone by visiting cloud.google.com. We also introduced Google Cloud Datastore, added the PHP runtime to Google App Engine, and added sub-hour billing charges so you don’t pay for compute minutes that you don’t use. 
  • Admin SDK: The new Admin SDK lets developers build customized administrative tools for organizations that use Google Apps. The SDK consolidates many of the existing domain APIs into a new uniform structure and introduces new functionality with the Directory API and Reports API. 
  • Google+ API for businesses: The new Google+ API for businesses is now available as a pilot for developers who want to build apps that handle tasks like auto-provisioning Circles and reading or writing posts.
Simplify your life:
  • Gmail: New quick action buttons in Gmail are designed to help you get things done faster and take action on an email without ever having to open it -- like opening a Google document that’s been shared with you or responding to a calendar invitation. And we’re beginning to roll out a new integration between Google Wallet and Gmail, so you can quickly and securely send money to friends and colleagues directly within Gmail—even if they don’t have a Gmail address. 
  • Unified storage: Google Apps customers will now have 30 GB of unified storage to use between Drive, Gmail, and Google+ photos. Just as before, files created in Docs, Sheets and Slides don't count against your storage quota. As a result of this change, Gmail inboxes for Google Apps customers are no longer limited to 25 GB -- any additional storage you purchase can be shared and used by Gmail. 
  • Nexus tablets and Google Play for Education: There are now 25 million students, faculty and staff around the world using Google Apps for Education. Later this year, Google will expand its education offering beyond Chromebooks and Apps to include Nexus tablets and Google Play for Education. Schools will be able to efficiently manage tablets and discover, purchase and distribute content and applications with ease. Schools who want to receive information about the program when it launches later this year should complete the interest form available at google.com/edu/android.
Connect and collaborate with others:
  • Google+: The new look and feel for Google+ brings a modern design to the stream and makes it easier than ever for you to connect with colleagues and quickly learn more about topics or posts that interest you. The new Google+ also looks and feels the same across all your devices.
  • Hangouts: Apps customers now have the option to replace chat in Gmail and Talk on Android with a new version of Hangouts that combines text, photos and live video calls across desktops, laptops, as well as Android and iOS phones and tablets. The new Hangouts is designed to help bring all of your real-life conversations online, across any device or platform. Just as before, Apps customers can invite up to 15 colleagues to a video call.

Bringing it all together for Google Apps customers: 30GB shared between Drive and Gmail



Life gets a bit easier when your Google Apps products work well together -- whether that’s inserting a Drive file into an email or sharing Docs and photos from Drive on Google+. As that experience becomes seamless, having separate storage doesn’t make as much sense anymore. So over the coming weeks, you’ll get 30 GB of unified storage to use as you like between Drive and Gmail. Just as before, files created in Docs, Sheets and Slides don't count against your storage quota. Storage will also be shared with photos you upload to Google+ larger than 2048px.


With this new combined storage, you can use your storage how you need to. If your business or school is like most, you know how many important emails and attachments you receive every day. As a result of today’s storage change, Gmail inboxes for Google Apps customers are no longer limited to 25 GB -- any additional storage you purchase can be shared and used by Gmail. Or alternatively, if you’re only using a few gigabytes of email storage, but have a lot of large documents and files stored in Google Drive, you can now use your storage primarily for Drive.


We'll also be making updates to the Google Drive storage page, so you can better understand how you're using your storage. Simply hover over the pie chart to see a breakdown of your storage use across Google Drive, Gmail, and Google+ Photos.

This update will roll out to Rapid Release domains over the coming weeks.

Add events to Google Calendar from Gmail

If you do a lot of scheduling over email, it's now a little bit easier to create events directly from your Gmail. Starting today, dates and times within emails are lightly underlined: click them to schedule that conference call or lunch date without ever leaving Gmail.


When you click on one of these underlined dates, you’ll be able to preview your schedule for the day and change the title, date or time of the event. Clicking “Add to Calendar” will do exactly that -- add the event to your calendar, and for extra convenience, the calendar event will include a link back to the original email.

This new feature is rolling out over the next week to Rapid Release domains with the English (US) language. We'll be adding other languages soon, so stay tuned.

Improved Gmail search for Google Apps customers



At work and school, being able to find things quickly is important. So today, Google Apps customers will have access to autocomplete predictions in your Gmail search boxes to make getting the information you want faster than ever before.

When you start typing in the Gmail search box, you’ll now see predictions display. Those predictions are based on the content of your email as well as past searches and contacts. So, if you always look for messages from your business partner or the title of your current project, you won’t wear out the keys on your keyboard by repeating the same search. For example, you may now see your coworker named Anna, your past search of annual report and announcement from a recent email you received after typing "ann" into the search box.


If Anna is in your contacts, you’ll see a picture of her and any other contacts to quickly make sure you’re choosing the right person, such as someone at your company and not a reporter or competitor who has the same name.

These features will be available globally over the next few days to Rapid Release domains.

A year in review: work the way you live



Ten years ago, business technology was at the forefront of innovation and productivity. But there’s a fundamental shift underway: in the last few years, consumer technology has begun to outpace business technology. People have fallen in love with the simplicity and freedom of living in the cloud with the help of modern browsers and smartphones—and they want to bring that experience to the workplace.

This is where Google comes in. For the better part of the past decade, we’ve worked to extend our popular consumer products—everything from Gmail and Google Drive to Maps, Google+ and Search—to meet your business needs. It should be easy for you to work better together, from anywhere, with secure (and simple!) tools. Here’s a look back at some key highlights from 2012.

Work securely...
Keeping your information secure is one of our top priorities. To that end, domain administrators can now require their employees to use 2-step verification, an additional layer of security that reduces the chance of unauthorized account access. Your company can also use Google Apps Vault, a solution for managing and archiving critical information for legal and regulatory reasons. If your business operates outside the U.S., we now offer Model Contract Clauses as an additional way to comply with the European Commission’s Data Protection Directive. Finally, Google Apps received ISO 27001 certification, ensuring our systems meet one of the most widely, internationally accepted independent security standards.

… anytime, anywhere...
It should be easy to get work done – anytime, on any device, with anyone. With offline editing in Chrome, you can now create and edit Google documents and leave comments even when you don’t have an Internet connection. Any changes you make will be automatically synced when you get back online. When you’re travelling, you can also edit Google documents and spreadsheets using the Drive app on your iPhone, iPad or Android device. Just like on your computer, you’ll be able to see other people’s edits instantly as they’re made.

If your business has workers on the go, Google Maps Coordinate combines the power of Google’s mapping technologies with modern smartphones to help you improve communication with employees in the field. In addition, the Google Play Private Channel lets you distribute internal apps to your employees who use Android devices. The new Chromebooks and Chromeboxes we launched with our partners are secure and easy to manage, which makes them especially great devices for 1-to-1 programs in schools, additional laptops for office workers, or desktop units for multiple users in a call center. (And we’re honored that Inc. Magazine named the Chromebox one of the best business gadgets of 2012.)

We’ve also focused on making our products simpler and easier for you to use – both at home and at work. We introduced Google Drive as a single place for you to create, share, collaborate and keep all your work. You can now insert files (up to 10GB) from Drive directly into an email without leaving your Gmail inbox, and you can share work from Drive on Google+. You and up to 14 colleagues can join a Google+ hangout directly from a calendar entry or your email inbox. Once inside a hangout, you can open a Google Doc for everyone to see and work on simultaneously. And if your company uses Chrome along with Google Apps, you can now call or email us for help with Chrome.

With the Google Search Appliance 7.0, you can search for a document on your company’s intranet just as easily as you’d search for a holiday recipe on Google.com. And if your business relies on geographic data—say, to map gas pipelines or help customers locate your store—you can use Google Maps and Earth Enterprise to visualize your data on the Google Maps interface you’re already familiar with.

Whether it’s Apps for Business, Maps Coordinate, or just a Google search, most Google services you use are possible only because of the powerful and energy-efficient infrastructure we’ve built over the years. This year, we worked to bring you more direct access to this infrastructure to help run your businesses and applications in the cloud. Compute Engine lets your business run virtual machines in Google’s data centers and BigQuery helps you quickly analyze big sets of data to gain business insights. Google Cloud Platform also offers more European datacenter support and lower prices for Cloud Storage.

The Gmail app for iPhone and iPad: version 2.0

Six months ago, our team set out to completely rebuild the Gmail app for iPhone and iPad to give you you a faster, sleeker, and easier experience on iOS. The result? Version 2.0. With version 2.0 of the app, you'll get a totally new look and feel, plus a bunch of improvements like profile pictures in messages, numerous new animations from swivels to transitions and infinite scrolling in the message lists.


The app adds many new time-saving features like being able to RSVP to Google Calendar invites as well as +1 and comment on Google+ posts directly from the app.


Last, but certainly not least, we've added a feature many of you have been waiting for: multiple account support. You can now login to up to five Google Accounts from the menu and switch between them with a couple taps.


You can download the app right now from the App Store. We're excited to hear what you think!

Gmail and Drive - a new way to send files

Since Google Drive launched in April, millions of people have started using Drive to keep, create and share files. Starting today, it’s even easier to share with others: you can insert files from Drive directly into an email without leaving your Gmail.


Have you ever tried to attach a file to an email only to find out it's too large to send? Now with Drive, you can insert files up to 10GB -- 400 times larger than what you can send as a traditional attachment. Also, because you’re sending a file stored in the cloud, all your recipients will have access to the same, most-up-to-date version.

Like a smart assistant, Gmail will also double-check that your recipients all have access to any files you’re sending. This works like Gmail’s forgotten attachment detector: whenever you send a file from Drive that isn’t shared with everyone, you’ll be prompted with the option to change the file’s sharing settings without leaving your email. It’ll even work with Drive links pasted directly into emails.


So whether it’s photos from your recent camping trip, video footage from your brother’s wedding, or a presentation to your boss, all your stuff is easy to find and easy to share with Drive and Gmail. To get started, just click on the Drive icon while you're composing a message. Note that this feature is rolling out over the next few days and is only available with Gmail's new compose experience, so you'll need to opt-in if you haven't already.

Introducing the new compose in Gmail

We're always trying to make Gmail faster and easier to use, so today we're introducing a completely redesigned compose and reply experience that does just that.

Faster
How many times have you been writing an email and had to reference something in another message? Saving a draft, opening the old email, and then reopening your draft wastes valuable minutes. The new compose pops up in a window, just like chats (only larger).


This makes it easy to reference any other emails without ever having to close your draft. You can even do a search or keep an eye on new mail as it comes in. And because the compose window works the same way as chats, you can write multiple messages at once and minimize a message to finish it later.

Easier to use
The new compose is designed to let you focus on what's important: your message. The controls are still there when you need them but get out of the way when you don’t. We’ve even added some new features like the ability to easily insert inline images and have more to come.

And, when you add recipients to your message, you'll see profile pictures of your contacts in autocomplete helping you find the right person faster. You can also drag and drop the new address chips between to:, cc: and bcc:. When you’re done adding recipients, the address area collapses automatically to get out of your way.


You’ll also see these same changes when you respond to a message. The reply experience has been designed to fit better inline as part of your conversation -- replies take up much less vertical height, intelligently expand to fit your content, and always keep the recipients and other controls in view no matter how long your message gets.

We're rolling out a preview of the new compose and reply today. After we've added some finishing touches over the coming months, we’ll enable it for everyone.

Communicate more easily across languages in Gmail

Finding the right words can be difficult, especially across languages, and once you choose them, finding a way to type them can be even harder. Try emailing family in Germany, chatting with friends in China or adding a Russian business partner's name to your contacts and you may find yourself limited by the language of your keyboard.

That's why today we’re adding more than 100 virtual keyboards, transliteration and IMEs—collectively called input tools—in Gmail. These tools enable you to type in the language and keyboard layout you’re accustomed to, making it easy to keep in touch with family, friends and coworkers from any computer. You can even switch between languages with one click.


To try it out, check the box next to Enable input tools under Language in Settings.

Once you’ve enabled it, you’ll see the Input Tools icon next to the Settings button in your toolbar, and you can turn on and off any Input Tool from there.


With these new virtual keyboards, Gmail supports typing in 75 languages—a big jump from the five languages that were initially supported when we introduced Indic transliteration in Gmail in 2009.

Gmail’s users are from all over the world—and language should never get in the way of a good conversation. If you'd like to use Input Tools in other places, try out the Chrome extension, the Windows desktop client or the Android app.

Georgetown Hoyas are going Google

Going Google was an opportunity to reimagine technology’s role at Georgetown and unify our campus by moving to a powerful cloud computing solution that worked no matter where our users were or what device they used. We had calendars, mail, and file storage and sharing tools before, but they were fragmented and in dire need of replacement. Our email system was twelve years old, only allowed 250MB per user, and calendars were not universally adopted or user-friendly. When our 16,000 students started using Google Apps for Education back in 2009, we instantly noticed some dramatic benefits. So we’ve decided to complete the migration by moving everyone over to the same platform. By summer’s end our 20,000 students, staff, and faculty members won’t have to worry about hitting email quota limits, guessing what teammates’ calendars look like, or being frustrated by the technology around them.
  

While modernizing our technology was one motivation, we also wanted to invest in a long-term vision of moving our university into the 21st century. Doing this in-house would have amounted to a tremendous resource commitment both now and in the future, for a relatively small boost in the end user experience. Google’s tools were an affordable way to provide a sustainable infrastructure for our faculty and staff. 

The process of moving our users to Google was fast, painless, and will ultimately make our users more productive. We were really impressed with our community’s reception to the switch. It helped that about 30% of our staff and faculty already had personal Gmail accounts, but during our outreach events, even people without that exposure were excited to migrate. We did several demonstration events to answer questions, and provided hands on support for those who needed it. 

Working on projects and tasks has become much less painful after switching to Google Apps because instead of dozens of versions attached to dozens of emails, we can all work on one copy at the same time through Google Docs. The Corp, the student-run corporation at Georgetown, uses Google Apps to coordinate schedules, plan events, and manage other aspects of the business. With our 4,000 faculty and staff now using Google Apps as well, we are excited to see the innovative uses the whole campus will find for collaboration, enhancing the education experience, and becoming more productive across campus. 

We look forward to bidding farewell to the days of full inboxes, missed appointments, and inefficient technology. Going Google allows us to switch off our email servers and at the same time take a giant leap forward in the services we provide our employees and students.

Google Apps for Business helps Pratt Industries save time and money, while it saves the environment

At Pratt Industries, we’re all about recycling, and we take pride in playing such a big role in maintaining a healthy environment. Every day, we collect thousands of pounds of paper from cities, schools and supermarkets across the country to create recycled packaging. More than 3,500 employees in 70 locations nationwide work together to make this happen, and we rely on technology to keep our operation organized and running smoothly.

In 2009, we ran into some problems when our Microsoft® Exchange server started failing. Since email is a critical communication channel for our business, we had to find a quick solution. We wanted a stable cloud-based network that would help us run our business more efficiently. The 99.9% uptime and cost savings associated with Google Apps made it a clear choice. And it’s a good thing we decided to switch because shortly after we signed up for Google Apps, our Microsoft® server unexpectedly crashed and we were forced to migrate all our employees immediately. In less than three days, we were able to set up nearly 2,000 Google Apps accounts, a task we thought would take weeks.

Google Docs has also saved us time and money – and helps us get things done more quickly. When parts of Alabama were hit by tornadoes, one of our mills went offline. To get the facility back up, we needed an IT person on the ground. I had to drive several hours and spend valuable time to fix the network. After the tornado, we used Google Docs to sketch out plans for restoring our systems. Now, if a facility goes down, we can easily share step-by-step instructions and photos with on-site employees to rebuild the network. And because we use Google Docs to share these instructions, they can access the plans on any device with an Internet connection.

More recently, we had to change network circuits at 60 of our plant facilities. Previously, we would fly an engineer to each location to gather critical data for the changeover. Now we’re able to coordinate the project remotely with shared spreadsheets in Google Docs. We provided on-site contractors with secure access to our spreadsheets, so they could collect and organize data at our facilities. Google Docs saved us two months of work and close to $60,000 in engineering costs, and we collected more accurate data because it was input directly at the project site.

Google Apps has given us new ways to make our business significantly more efficient. I’m constantly amazed at the ways our employees are using the products, and I’m looking forward to seeing even more innovative uses.

Adding business class management features to Gmail

Last year, we started integrating Postini’s business-class email security and management capabilities into Gmail and today we’re excited to be rolling out the latest round of integrated features. Google Apps administrators can now take advantage of improved email compliance footers, approved/blocked sender lists and file attachment policies. These capabilities help our customers address compliance requirements and effectively manage email traffic. Previously, Google Apps customers used Google Message Security, powered by Postini, to provide these capabilities.

With this new release, we’ve improved these features and designed them specifically to meet the needs of our Apps customers. Admins will manage the features natively in the Google Apps control panel (localized in 28 languages), leverage our granular policy framework to customize settings for different types of users, and join multiple rules together to address very targeted use cases.

These new features are available globally for Google Apps for Business, Google Apps for Government and Google Apps for Education editions.

Dominie Liang, IT Director at New Media Group in Hong Kong, was able to use the new features to quickly address his company’s compliance requirements:

"Our legal team wanted us to add a compliance note to all of our outbound email. Thanks to Google's new email feature set, we could easily add the rich text format disclaimer with Chinese characters to the email footer, and solved the issue within a minute."

George Krieger, Technical Services Manager, Mazda Raceway Laguna Seca, adds:

"The new message footers in Gmail have made it easy for us to standardize our email signatures and more effectively promote our race schedules. And I love the ability to delegate control of these to our Media department so they can change them when they want without having to call me. This is a major improvement for us."

With the addition of these features to Gmail, there is no longer a need to use Google Message Security (GMS) with Google Apps so we will no longer offer GMS to Google Apps customers. We’ll work with those customers currently using GMS to migrate their settings to these new features. Gmail and Contacts get better with Google+

We want to bring you a great experience across all Google products which, for Gmail and Contacts, means understanding what you care about and delivering it instantly. With that in mind, we’re introducing some new integrations with Google+ that we think will make Gmail and Contacts even better. If you use Google+, you can now grow your circles, filter emails and contacts by circles, keep all your contact information up-to-date automatically and share photos to Google+, all right from Gmail and Contacts.

Grow your circles from your email
Now when you open an email from someone on Google+, you can see the most recent post they’ve shared with you on the right-hand side of the conversation. If they’re not in your circles yet, it’s easy to add them straight from Gmail.


Find information from the people you care about most
Looking for the info on an upcoming family holiday gathering but can't remember who sent it? If you've spent time building your Google+ circles, you can now quickly use them to filter your mail, saving yourself from having to sift through that pile of daily deal emails and newsletters. You can see messages from all of your circles at once or from each individual circle. And if you want, you can show circle names on emails in your inbox. Contacts can also be filtered by circles, making it easier to view your social connections.

If your contacts have a Google profile, their contact entry in Gmail will be updated with the profile information they’ve shared with you, including phone numbers, email addresses and more. If they change it in the future, you’ll get those updates automatically. You can also make sure the people you care about have your most up-to-date contact information by updating your own Google profile and sharing it.


Share effortlessly without leaving your inbox
Lots of great images are sent through email, but sharing those photos with friends on Google+ used to require downloading the image from Gmail and re-uploading to your profile. Not anymore: Now you can share photo attachments with one quick click. The image(s) will be uploaded to your Google+ photos and be viewable only to the circles that you choose to share with.


We’ll be rolling out all of these changes out over the next few days to Gmail, Gmail Contacts and the “standalone” version of Google Contacts at contacts.google.com. Please note that Google Apps users won’t see the Contacts updates quite yet, but we’re actively working to make them available.

Gmail app for iOS available in the App Store (again)

Two weeks ago, we introduced our Gmail app for iOS. Unfortunately it contained a bug which broke notifications and displayed an error message, so we removed it from the App Store. We’ve fixed the bug and notifications are now working, and the app is back in the App Store. For an overview of what’s available in the Gmail app for your iPhone, iPad or iPod touch, check out this blog post.

In the short time the app was public we received a lot of helpful feedback and feature requests. This included requests for everything from bigger features like multiple account support to customizations like improved notifications and mobile specific signatures.

We’re just getting started with the Gmail app for iOS and will be iterating rapidly to bring you more features, including all the ones listed above plus many more. Based on your comments we have already improved our handling of image HTML messages - they are now sized to fit to the screen and you can pinch to zoom in.

To try out the Gmail app today, install it from App Store on any iOS 4+ device. Those who already have the Gmail app released Nov 2 must uninstall or log out of the old app prior to installing the new app.

Introducing the Gmail app for iPhone, iPad and iPod touch

Update: 11/16/11 On 11/2 we launched a new Gmail app for iOS but after finding a bug removed the app from the App Store. Starting today, the Gmail app is now available again.

Waiting. Walking. Watching TV. Working out. Winding down. Waking up. We check email pretty much everywhere these days. And when we do, we want easy access to our important messages so we can respond quickly and get back to life -- or slinging birds at thieving green pigs.

With that in mind, we’ve created a new Gmail app for iPhone, iPad, and iPod touch. We’ve combined your favorite features from the Gmail mobile web app and iOS into one app so you can be more productive on the go. It’s designed to be fast, efficient and take full advantage of the touchscreen and notification capabilities of your device. And it’s one more reason to switch to Gmail.

We want to give you the information you need quickly, with minimal effort and distraction. So we’ve included some time-saving features:
  • Get alerted to new messages with push notifications and sounds
  • Find an email in seconds with search across your entire inbox

Gmail: It’s cooler in the cloud

Cloud computing is secure, simple, keeps you productive and saves you money. But the cloud can also save energy. A recent report by the Carbon Disclosure Project (CDP) and Verdantix estimates that cloud computing has the potential to reduce global carbon emissions by millions of metric tons. And Jonathan Koomey, a consulting professor at Stanford who has led several studies on data center energy use, has written that for many enterprises, the cloud “is significantly more energy efficient than using in-house data centers.”

Because we’re committed to sustainability, we sharpened our pencils and looked at our own services to see how they stack up against the alternatives.

We compared Gmail to the traditional enterprise email solutions it’s replaced for more than 4 million businesses. The results were clear: switching to Gmail can be almost 80 times more energy efficient (PDF) than running in-house email. This is because cloud-based services are typically housed in highly efficient data centers that operate at higher server utilization rates and use hardware and software that’s built specifically for the services they provide—conditions that small businesses are rarely able to create on their own.

If you’re more of a romantic than a businessperson, think of it this way: It takes more energy to send a message in a bottle than it does to use Gmail for a year, as long as you count (PDF) the energy used to make the bottle and the wine you drank.


We ran a similar calculation for YouTube and the results are even more striking: the servers needed to play one minute of YouTube consume about 0.0002 kWh of energy. To put that in perspective, it takes about eight seconds for the human body to burn off that same amount. You’d have to watch YouTube for three straight days for our servers to consume the amount of energy required to manufacture, package and ship a single DVD.

In calculating these numbers, we included the energy used by all the Google infrastructure supporting Gmail and YouTube. Of course, your own laptop or phone also consumes energy while you’re accessing Google, so it’s important to choose an efficient model.

There’s still a lot to learn about the global impacts of cloud computing, but one thing we can say with certainty: bit for bit, email for email, and video for video, it’s more efficient in the cloud.

Using Gmail, Calendar and Docs without an internet connection

The great thing about web apps is that you can access all of your information on the go, and we’ve introduced ways to use Google Apps on a variety of devices like mobile phones and tablets. But it’s inevitable that you’ll occasionally find yourself in situations when you don’t have an internet connection, like planes, trains and carpools. When we announced Chromebooks at Google I/O 2011, we talked about bringing offline access to our web apps, and now we’re taking our first steps in that direction. Gmail offline will be available today, and offline for Google Calendar and Google Docs will be rolling out over the next week, starting today.

Gmail Offline is a Chrome Web Store app that’s intended for situations when you need to read, respond to, organize and archive email without an internet connection. This HTML5-powered app is based on the Gmail web app for tablets, which was built to function with or without web access. After you install the Gmail Offline app from the Chrome Web Store, you can continue using Gmail when you lose your connection by clicking the Gmail Offline icon on Chrome’s “new tab” page.


Google Calendar and Google Docs let you seamlessly transition between on- and offline modes. When you’re offline in Google Calendar, you can view events from your calendars and RSVP to appointments. With Google Docs you can view documents and spreadsheets when you don’t have a connection. Offline editing isn’t ready yet, but we know it’s important to many of you, and we’re working hard to make it a reality. To get started using Google Calendar or Google Docs offline, just click the gear icon at the top right corner of the web app and select the option for offline access.

IT administrators can deploy Chrome Web Store apps to users en masse by setting up organizational policies for Chrome.

Today’s world doesn’t slow down when you’re offline and it’s a great feeling to be productive from anywhere, on any device, at any time. We’re pushing the boundaries of modern browsers to make this possible, and while we hope that many users will already find today’s offline functionality useful, this is only the beginning. Support for offline document editing and customizing the amount of email to be synchronized will be coming in the future. We also look forward to making offline access more widely available when other browsers support advanced functionality (like background pages).
